Organise meeting notes, project documentation, and team knowledge using Microsoft OneNote in Microsoft 365.

Microsoft OneNote — Team Notes and Knowledge Base

OneNote is a digital notebook included in Microsoft 365. It stores notes, files, images, and web clips — all searchable and shareable.

### Accessing OneNote

  • Web: onenote.com
  • Desktop: OneNote for Windows (downloadable from Microsoft Store)
  • Mobile: OneNote app (iOS / Android)
  • Via Teams: Add a OneNote tab to any channel

### OneNote Structure

**Notebooks → Sections → Pages**

Example:

  • Notebook: Company Wiki

- Section: HR Policies

- Page: Leave Policy

- Page: Work From Home Guidelines

- Section: IT Guides

- Page: New Employee Setup

### Creating a Shared Notebook

1. OneNote → File → New → OneDrive (for sharing) → Name it → Create

2. Share: File → Share → Get a sharing link or invite specific people

### Taking Meeting Notes

From Outlook calendar event:

Outlook → open meeting → Meeting Notes → Take notes on your own (opens linked OneNote page)

Or in Teams meeting: Notes panel → shared notes stored in OneNote

### Useful Features

  • **Tables:** Insert → Table — for structured content
  • **Tags:** Mark items with To Do, Important, Question checkboxes
  • **Screen clipping:** Windows + Shift + S → clip to OneNote
  • **Audio recording:** Insert → Record Audio (saves to page)
  • **@mentions:** Type @ to mention a colleague and send them a link
  • **Version history:** Right-click page → Page versions

### Sharing with External Users

Share notebook via email link — external users can view or edit depending on permissions.

### OneNote in Teams

Teams channel → + (Add tab) → OneNote → Select or create notebook

All team members can view and edit in real time.
