Using Microsoft Bookings for Appointment Scheduling

Set up Microsoft Bookings to let customers schedule appointments online with your team.

Microsoft Bookings — Appointment Scheduling

Microsoft Bookings is included with **Microsoft 365 Business Standard** and higher. It lets customers book time with your staff through a public booking page.

### Accessing Bookings

Go to **office.com** → All apps → Bookings

Or: bookings.microsoft.com

### Setting Up Your Booking Page

1. **Create a new booking calendar** — enter business name, type, phone, address

2. **Set business hours** — define when appointments can be booked

3. **Add services** — each service has its own duration, price, staff, and buffer time

4. **Add staff members** — assign staff to services; their Outlook calendars are checked for availability

5. **Share your booking page** — copy the public URL and add to your website or email signature

### Configuring a Service

  • **Duration:** 15 min, 30 min, 1 hour, custom
  • **Buffer time:** Automatic gap between appointments
  • **Confirmation emails:** Automatic to customer and staff
  • **Custom questions:** Collect information during booking (phone, notes, etc.)

### Managing Appointments

Bookings → Calendar view — shows all upcoming appointments

Click any appointment to: Reschedule, Cancel, or add notes

### Sending Booking Reminders

Bookings → Services → Select service → Reminders → Add reminder

Set timing (e.g. 24 hours before) — sends email automatically.

### Integrating with Teams

Staff can join appointments via Microsoft Teams meeting link — auto-generated when Teams is enabled for a service.
