Why You Need a Business Email Address

Using a generic Gmail or Yahoo address (yourname@gmail.com) for business communications undermines your professional credibility. A business email on your own domain (yourname@yourcompany.com) signals legitimacy and builds trust with clients and partners. Google Workspace provides this capability while also giving your team Gmail's familiar interface, Google Drive, Meet, Calendar, Docs, and Sheets — all managed under your company's domain with administrative control.

Step 1: Sign Up for Google Workspace

Go to workspace.google.com and click 'Get started.' You will be prompted to enter your business name, number of employees, country, and the existing domain you want to use for email. If you do not have a domain yet, Google will offer you the opportunity to purchase one during setup. Select the appropriate plan — Business Starter provides 30 GB pooled storage per user, while Business Standard offers 2 TB per user along with enhanced meeting features. Enter your payment details to complete sign-up and create your first admin account.

Step 2: Verify Your Domain Ownership

Before you can use Google Workspace with your domain, you must prove that you own it. Google will provide a TXT verification record (e.g., google-site-verification=xxxxxx). Log in to your domain registrar (GoDaddy, Namecheap, BigRock, etc.) and add this TXT record to your domain's DNS. DNS propagation typically takes 15 minutes to a few hours. Once Google detects the TXT record, your domain will be verified and you can proceed to configure email.

Step 3: Set Up MX Records for Email Delivery

After domain verification, you need to point your domain's email traffic to Google's mail servers by updating your MX (Mail Exchange) records. Google provides five MX records to add, with priorities ranging from 1 to 10. Delete any existing MX records pointing to your previous email provider first. Add all five Google MX records in your DNS management panel. The primary record should be: ASPMX.L.GOOGLE.COM with priority 1. Once these records propagate (up to 48 hours), all email to @yourcompany.com will be delivered to Google Workspace.

Step 4: Create User Accounts and Aliases

In the Google Admin Console (admin.google.com), navigate to Directory > Users to create email accounts for your team. Each user gets a primary email address and can have multiple aliases (e.g., info@, support@) that deliver to the same inbox. Assign Google Workspace licences to each user. Users can immediately access their business Gmail at mail.google.com using their @yourcompany.com credentials. They can also set up Outlook, Apple Mail, or any IMAP-compatible client using Google's IMAP/SMTP settings.

Step 5: Configure Security Settings

After setup, configure essential security settings in the Admin Console. Enable 2-Step Verification (2FA) for all users — this is the single most effective measure to prevent unauthorised account access. Set up SPF, DKIM, and DMARC records to authenticate outbound email and prevent your domain from being used for phishing or spam. Regularly audit user accounts and remove inactive accounts.
